Diamond Aircraft Parts supplies aircraft and engine parts and aviation inventory services to airlines, maintenance organisations and procurement teams. Diamond Aircraft Parts is the trading name of Diamond Aircraft Logistics. In this policy, “Diamond”, “we”, “us” and “our” mean Diamond Aircraft Logistics, doing business as Diamond Aircraft Parts, which has two offices:
Diamond Aircraft Logistics, doing business as Diamond Aircraft Parts
11003 NW 33rd St, Doral, FL 33172, United States
Diamond Aircraft Parts, UK office
Unit 27, The Bell Centre, Newton Road, Crawley, West Sussex RH10 9FZ, United Kingdom
The company that decides how and why your personal data is used (the “controller”) is Diamond Aircraft Logistics.
You can contact us about privacy at sales@diamondaircraft.us (subject “Privacy”) or by post to either office.
This policy explains how we handle personal data about:
Our website and services are intended for businesses. Most of the personal data we handle is business contact information about people acting for their employer. We still treat it as personal data and respect your rights. This policy does not cover our own employees or job applicants, who receive separate information.
Quote requests through our website. When you use our quote request form we ask for:
The form only sends this information to us when you select Send request to Diamond. Until then it stays on the page in your browser. If you choose Download quote request instead, a text file is created on your device and nothing is sent to us. When you send a request, we also store a random reference number created for that request, so that sending it again does not normally create a second record.
Notifying our sales team. When your request reaches our sales system, our website emails a copy of it to our own sales inbox so the team can respond quickly. This internal email is sent through Cloudflare’s email service. We do not send you marketing emails because you used the form.
Email and phone. If you email us or call us, including our sales line and AOG line, we receive your name, contact details, the content of your message and anything you attach or tell us.
Doing business with us. If you go on to buy from us or supply us, we keep the business contact details and transaction records needed for quotes, orders, shipping, invoices, certification and traceability documents, and to meet export-control and sanctions rules that apply to us.
Our website has no user accounts, payments, advertising tools or tracking across websites, and it does not ask for sensitive information such as health data, government identification numbers or financial account details. Please do not include such information in the free-text box.
You do not have to give us any personal data. Without your name, company and a way to reach you we cannot respond to a quote request; you can always call or email us instead.
UK and EU data protection law requires us to have a lawful basis for each use. The table explains what we do, the data involved and our basis.
| What we do | Data | Lawful basis (UK and EU GDPR) |
|---|---|---|
| Respond to quote requests and enquiries, including urgent AOG requests, and prepare quotes | Contact details, part requirements, AOG timing and destination, correspondence | If you ask for yourself: steps you request before a contract (Art 6(1)(b)). If you act for your employer: our legitimate interest in answering business enquiries (Art 6(1)(f)). |
| Supply parts, arrange delivery, invoice and provide certification and traceability documents | Contact details, order and shipping details, transaction records | Performance of a contract (Art 6(1)(b)) or our legitimate interest in managing contracts with your employer (Art 6(1)(f)). |
| Keep business records of enquiries, quotes and transactions | Records of requests, quotes and orders | Legal obligations, for example tax and accounting rules (Art 6(1)(c)), and our legitimate interest in keeping accurate commercial records (Art 6(1)(f)). |
| Check that we can lawfully supply a customer under export-control and sanctions laws, where those laws require it | Company and contact names, addresses, destination and end-use information | Legal obligations where UK law requires it (Art 6(1)(c)); otherwise our legitimate interest in complying with export-control and sanctions laws that apply to our business, including US laws (Art 6(1)(f)). |
| Keep our website and systems secure, prevent abuse and fix technical problems | IP address, technical request data, logs | Our legitimate interest in network and information security (Art 6(1)(f)). |
| Understand how the website is used, how quickly it loads and how visitors contact us, so we can improve it | Cookieless page statistics and contact counts that do not identify you | Our legitimate interest in running and improving our website (Art 6(1)(f)). You can object by turning on Global Privacy Control or Do Not Track in your browser. |
| Send business updates about parts and services, if we send them | Name, work email, company | Our legitimate interest in direct marketing to business contacts (Art 6(1)(f)), or your consent where the law requires it. You can opt out at any time. |
| Establish, exercise or defend legal claims, and respond to lawful requests from authorities | Any relevant records | Legal obligation (Art 6(1)(c)) or our legitimate interest in protecting our rights (Art 6(1)(f)). |
Where we rely on legitimate interests, we weigh them against your rights and reasonable expectations, and we only rely on them where the use is one business contacts would expect. You can ask us for more detail and you can object (see Your rights).
Automated decisions. We do not make decisions about you based solely on automated processing, and we do not profile website visitors.
Marketing. If we send you marketing emails, each one will identify Diamond, include our postal address and give you a simple way to unsubscribe. We act on opt-outs promptly and within 10 business days at the latest. We do not send marketing emails to sole traders or individuals without consent where UK law requires it, except to existing customers about similar products, with a simple opt-out, where the law allows.
We are an international business with offices in the United States and the United Kingdom, and our main service providers are based in the United States. Personal data you give us, including from the UK or the European Union, is therefore processed in the United States and may be accessed from both offices.
Where UK or EU law restricts these transfers, we rely on:
Data shared between our US and UK offices is protected by the safeguards UK data protection law requires for such transfers.
You can ask us for more information about these safeguards, or a copy of them, using the contact details below.
We keep personal data only as long as we need it for the purposes above, including meeting legal, tax, accounting and export-control record-keeping requirements and handling possible claims.
| Data | How long |
|---|---|
| Your parts list in browser session storage | Until you close the browser tab or clear it; it never reaches us unless you send a request |
| IP address used to limit repeated submissions | Temporary server memory only; used for 10 minutes, then removed at the next check or when the server instance restarts, whichever comes first |
| Contact counts | Three months, after which Cloudflare deletes them automatically; they contain no personal data |
| Website statistics | Kept in aggregated form in our Cloudflare account; they do not identify you |
| Internal notification emails | Kept in our sales inbox under the same periods as quote requests; Cloudflare keeps delivery records for a limited period set by its email service |
| Website technical logs | Up to 3 days, as set by our Cloudflare plan, after which Cloudflare deletes them automatically |
| Quote requests and enquiries that do not lead to an order | As long as needed to follow up the enquiry and keep accurate commercial records, then deleted or anonymised |
| Customer and supplier records, orders and related correspondence | For the duration of the business relationship and then for as long as tax, accounting, export-control and sanctions record-keeping rules require |
When data is no longer needed we delete it or make it anonymous.
We use technical and organisational measures appropriate to the data we hold. For our website these include:
No system is completely secure. If a personal data breach is likely to affect you, we will tell you and the relevant authorities where the law requires.
If you are in the United Kingdom or the European Union, you have the right to:
To use any right, email sales@diamondaircraft.us with the subject “Privacy request”. We may ask you to confirm your identity. We will respond within one month, which the law allows us to extend in some cases; we will tell you if so. Using your rights is free. Some rights have legal limits, for example where we must keep records by law, and we will explain if one applies.
Several US states give residents rights over their personal data. Depending on where you live and whether a particular law applies to us, you may have the right to know what personal data we hold, to access, correct or delete it, and not to be treated differently for using these rights. You can make a request as described in Your rights, or have an authorised agent do so for you. We will verify requests before acting on them.
California. We collect identifiers and contact details (such as name, email, phone and company), commercial information (part requirements, quotes and orders) and internet activity limited to technical request data, from the sources and for the purposes described in this policy.
We disclose them only to the recipients listed under Who we share it with. We do not sell personal information or share it for cross-context behavioural advertising, we do not use or disclose sensitive personal information, and we do not knowingly collect personal information from anyone under 16.
This policy also describes how we respond to Do Not Track signals (see Cookies and browser storage) and how we tell you about changes (see Changes to this policy).
Complain to us first. If you are unhappy with how we have handled your personal data, email sales@diamondaircraft.us with the subject “Data protection complaint”, or write to either office. We will acknowledge your complaint within 30 days, look into it without undue delay and tell you the outcome.
United Kingdom. You also have the right to complain to the UK data protection regulator, the ICO: ico.org.uk/make-a-complaint (opens in a new tab).
European Union. You can complain to the data protection authority in the country where you live or work, or where you believe the problem happened. A list of authorities is available from the European Data Protection Board (opens in a new tab).
United States. You can contact the attorney general or consumer protection office in your state.
Our website and services are for businesses and are not directed to children. We do not knowingly collect personal data from children under 16. If you believe a child has given us personal data, please contact us and we will delete it.
Our website links to other sites, such as Aircraft Transport Worldwide, event organisers, aviation authorities and Google Maps for directions to our offices. These links open only when you select them. We are not responsible for how those sites handle personal data; please read their privacy policies.
We will update this policy when our practices or the law change. The date at the top shows when it was last updated. If we make a significant change, such as using your data for a new purpose, we will tell you before the change applies, for example by a notice on this website or by email where we have a relationship with you.
